What Is a Digital Invitation? What It Does and How It Works
A digital invitation is sent by link or message instead of paper. See the main types, what they do, how RSVPs are tracked and how they compare to print.
A digital invitation is an invitation sent to someone's phone as a link or a message, instead of being printed and handed out or posted. At its simplest it is an image dropped into a chat; at its fullest, each guest gets their own invitation, replies from it, and the host sees who is coming on one screen.
So a digital invitation is less a format than a process — from sending the invite to collecting the answers. This guide covers the main types of digital invitation, what they actually do, how they work, and where they differ from print — so you can decide what fits your event on your own terms.
How Many Kinds Are There?
"Digital invitation" is used for three quite different things. The difference is not the design — it is what happens after you press send.
1. An image, video or PDF sent in a chat. A design is made and forwarded to groups or to people one by one. Quick and easy — but the invitation is a file. To find out who opened it and who is coming, you still have to ask everyone separately.
2. A page made in a design tool and shared as a link. The invitation is a web page: it can be updated, and the map and schedule live inside it. But usually everyone gets the same link. If there is a reply option, it is a general form — matching the answers to your guest list is left to the host.
3. A per-guest invitation. Each guest receives a link opened in their own name, or an invitation that arrives directly in their WhatsApp. The reply is recorded against that person; the host sees on the list who has seen it, who has replied and how many people are coming.
All three are "digital invitations". The choice depends on how much of the invitation you want on the phone: just the announcement, or the RSVPs too?
What Does a Digital Invitation Do?
It does what a printed card does — delivers the invitation. The difference is in the gaps a card leaves open.
It arrives instantly. No collecting postal addresses, no postage, no hand delivery. A cousin abroad and a neighbour down the road receive it at the same moment — which matters a lot when half of the guest list lives in another country.
You know who has seen it. With a per-guest invitation the host can see whether it has been opened. When sent over WhatsApp, delivery is tracked as well; a read receipt is usually visible too, though that depends on the guest's own read-receipt setting.
Replies collect themselves. Instead of phoning people for their RSVP, guests answer from their own invitation. The count builds up on the dashboard, and "how many are coming?" stops being a guess. (More on this in How to Track Wedding RSVPs Online.)
Changes are never too late. If the time moves or the venue changes, a printed card cannot be recalled. A link-based digital invitation is simply updated; guests see the new details the next time they open it.
What comes after lives in the same place. The guest list, the replies, the seating plan and the photos guests share after the event can all sit in one dashboard, so the invitation and the organisation don't run in separate notebooks.
How Does It Work?
A per-guest digital invitation usually runs like this: you prepare a guest list, the invitation goes to each guest in their own name, the guest replies, and you follow the answers on one screen. The detail depends on where the guest replies.
Davetimo is a platform for every kind of invitation, from weddings to corporate events: send your personalised digital invitation via WhatsApp and collect RSVPs on a single screen. It offers two ways for guests to reply.
Concept Invitation — replies on the invitation page
For weddings, where design matters most. You pick one of twelve distinct design worlds and edit the text and colours in a design studio with live preview. Each guest gets a link opened in their own name; they tap it, see the invitation, and confirm whether they are coming and with how many people.
Event Invitation — replies inside WhatsApp
For any kind of invitation, weddings included — especially birthdays, openings, graduations or corporate meetings that don't need a design studio. You upload your own image or video. The invitation lands in the guest's WhatsApp, and they confirm attendance and party size without leaving WhatsApp. With hundreds of guests you don't need to read every conversation: AiReport summarises who is coming, who stopped halfway, and which guests are waiting for a decision from you. The full flow is in How to Send an Event Invitation on WhatsApp.
Sent, delivered, seen, replied — four separate things
With a digital invitation, "I sent it" doesn't mean the job is done. Four states are tracked separately:
- Sent — the invitation left your side.
- Delivered — it reached the guest's phone.
- Seen — the guest opened the invitation or read the message.
- Replied — the guest gave their answer.
This tells you who to remind. With a Concept Invitation you send reminders from the dashboard, one by one or in bulk. With an Event Invitation, a guest who stops halfway through replying gets a gentle reminder automatically.
For guests who don't use WhatsApp, or whose message didn't arrive, you can also send the invitation by SMS. If a WhatsApp message didn't arrive and you passed the invitation on another way, you can mark it as "delivered" and enter the guest's reply on the dashboard yourself, so the list reflects reality.
Guests abroad and other languages
Guest phone numbers can be entered with any country code. The invitation interface — buttons, labels, dates — can be shown in English (and in Spanish for Concept Invitations), and guests you set to English receive the WhatsApp invitation in English. The host's own texts stay exactly as written, and every guest sees the same text.
Benefits — and Limits
The benefits are easy to list: instant delivery, visible delivery status, answers that collect themselves, updates after publishing. An honest comparison also says where digital falls short.
Where print is still strong. A card you can hold — one that goes on the fridge and turns up in a box years later — has a tactile value a screen doesn't. Family tradition is real too: for grandparents, an invitation is a card, and some older guests are simply more comfortable receiving one by hand. For a very small, intimate gathering, handing out cards isn't much of a burden anyway.
Digital's structural difference. A printed card has three limits: it can't change once printed, you can't tell whether it was seen, and collecting replies is a separate, manual job. Digital's difference isn't aesthetic — it removes those three limits.
Digital or Print?
| Printed invitation | Digital invitation | |
|---|---|---|
| Cost | Design, printing, paper and delivery — grows with the guest count | Depends on the platform and delivery channel; no printing or postage |
| Delivery | Needs an address; by hand or post, with delay and loss risk | Arrives on the phone instantly; no address needed |
| RSVP tracking | Phone calls; answers written into a list by hand | Guests reply from their own invitation; answers appear on the dashboard |
| Changes | Not possible once printed | Link-based invitations can be updated after publishing |
| Keepsake value | An object you keep and hold | Lives on a screen; not a physical object |
The table doesn't crown a winner. The real question is which row matters most for your event.
You don't have to choose, either. One option is a hybrid: a few printed cards for the closest elders, and a digital invitation for everyone else. The card keeps its emotional value, and the RSVPs for a 150- or 200-person list aren't tracked by hand. One carries the memory, the other runs the logistics.
Frequently Asked Questions
Is an e-invitation the same as a digital invitation?
Yes. E-invitation, electronic invitation, online invitation and virtual invitation all describe the same thing: an invitation sent to a phone instead of on paper. The real difference comes from which of the three types above it is, not what it's called.
How much does a digital invitation cost?
It depends on the kind of tool: free tools usually stop at design, while platforms that send per-guest invitations and track RSVPs price by guest count and delivery channel. See Digital Invitation Pricing: What Shapes It? for what drives the price.
Are digital invitations free?
Free options exist, but they mostly cover making the design; sending it and collecting answers is left to you. Per-guest sending and RSVP tracking generally come with a cost that scales with the guest list.
Can I use printed and digital invitations together?
Yes — it's a practical mix. Set aside a few printed cards for older relatives and send digital invitations to the rest. Add the people who received a card to your list and enter their replies on the dashboard, and RSVP tracking still stays in one place.
Can older guests use a digital invitation?
Usually, yes. Because it arrives on WhatsApp there is no app to install and no account to create; with an Event Invitation the guest replies without leaving WhatsApp. Some families still prefer to give their elders a printed card — one of the most common reasons for mixing the two.
Whether digital or print is right has no single answer — it depends on your guest count, your timeline and what your family expects.
